Transferring the account holder
Use this procedure when you want another person to become the KaBase account holder, for example when the person in charge changes or your organization is restructured. The tenant (the layouts, content and registered devices in the management console) carries over as it is to the new holder’s subscription.
On this page, the current account holder is called the “predecessor” and the person who will subscribe is called the “successor”.
The email address of a KaBase account can’t be changed. When the person in charge changes, hand the tenant over to the successor’s own account with this procedure rather than continuing to use the predecessor’s account. If you keep using the predecessor’s account, its email address and the management console registration stay the predecessor’s (only the display name can be changed on the account page).
How a handover works
- The predecessor applies to us for a handover. Email the support desk on the support page with the address of the tenant (the management console URL) and the successor’s email address.
- We register a handover reservation. The reservation is valid for 30 days from registration. We will let you know when it is registered.
- The successor subscribes to a paid plan within that period. Create an account with the email address registered in the reservation and subscribe to a paid plan. Once payment is complete, the tenant is handed over to the successor’s subscription and the successor receives an invitation to the management console. If the successor is already a user of that tenant’s management console, no invitation email is sent.
- The predecessor cancels their subscription. This can happen at the same time as the successor’s subscription; the order does not matter.
- Once the predecessor’s subscription has ended, the successor disables the predecessor from user management in the management console.
For the successor
- Before you subscribe, check that the checkout page shows “This account matches a tenant handover reservation”. If it does not, you are using an account other than the one registered in the reservation, or the reservation was registered incorrectly. Do not subscribe; contact the support desk instead. Subscribing anyway creates a new, empty tenant rather than a handover.
- A handover can’t be completed on the Free plan. Choose one of the paid plans (Starter, Standard or Enterprise). If you subscribe to the Free plan, the license page will ask you to change to a paid plan; the handover completes if you change before the reservation expires.
- If you already have a subscription of your own, you can’t take over a tenant. An account can hold only one subscription, so a reservation can’t be registered for that email address. Register a different email address as the successor instead. To take over with the same address, the successor deletes their account so that they no longer have a subscription, and then the predecessor applies for the handover again. Deleting the account makes the successor’s current tenant (its content and registered devices) unavailable, and its data may be deleted.
- After the handover, the tenant runs on the plan the successor subscribed to.
For the predecessor
- Until the handover procedure is complete, you can’t change your plan or subscribe to a new one. You can still cancel your subscription or delete your account. This keeps the tenant unchanged during the handover.
- A tenant on the Free plan can’t be handed over. Please contact the support desk.
- Cancelling is enough; you don’t need to delete your account. The successor can disable you in the management console once your subscription has ended (after the end of the cancelled period, or after you delete your account). If you still can’t be disabled after your subscription has ended, contact the support desk and we will remove you.
- After the handover, you can’t subscribe to a new plan with the same account (the checkout page will tell you so). If you need a tenant of your own, delete your account and then sign up again.
If the reservation expires
If the successor does not subscribe to a paid plan within the period (30 days from registration), the reservation lapses and no handover takes place. If the successor subscribes after the reservation has expired, a new, empty tenant is created instead of a handover (handing over after that requires the successor to delete their account). To hand over, please apply again. The support desk can also cancel a reservation or change the successor’s email address.
